Privacy
Your privacy, in plain English.
How Evenside looks after the personal information of renters, property managers, tradies and owners, under the Privacy Act 1988 and the Australian Privacy Principles.
Who we are
Evenside (ABN 38 396 532 553) helps renters, property managers, tradies and owners sort repairs. This policy covers our website, the tenant app, the agency dashboard and the links we send to tradies and owners. When it says “we”, it means Evenside.
Questions about your privacy go to hello@evenside.com.au.
What we collect
If you rent
Your name, your email, your mobile if you give it, your rental’s address, and your property manager’s name and email. What you tell us about a repair, in your own words and photos, and the quick checks you tick as tried. Your messages and answers, like whether a repair is fixed, and your move-in record if you keep one. And where each repair was up to when you last looked, so the app can show you what’s new.
If you work at an agency
Your name, your work email, your mobile if you give it, and your role. What you do in the dashboard, which goes in your agency’s record, and the documents you add to a repair, like a report or a warranty. Your messages to a renter stay in their history of the repair, which they keep. If your agency pays for a plan, the name and email its invoices go to, and each payment. Card and bank details stay with our payment provider and never reach us.
If you’re a tradie or an owner
What the agency gives us, like your name, business name, email and phone, a tradie’s trades and ABN, and an owner’s approval limit. And what you send through your link, like quotes, invoices, times, approvals and photos of the work. If you’re a tradie, the renter keeps who did their repair in their history of it, with your name and business name, when you came, your photos of the work, and your phone if the agency lets them call you.
Whoever you are
To show you our pages and keep them secure, our providers see your device’s internet address and browser. We keep your sign-in on your device so you stay signed in, and a repair report you haven’t sent yet, for up to a week, which reaches us only when you send it. If you turn on error reports, we get a report of what went wrong, with names, emails, phone numbers and anything anyone wrote taken out first.
We don’t use advertising or analytics tools, or tracking cookies.
How we get it
Mostly from you. Some comes from the other people on a repair. A renter gives us their property manager’s name and email. An agency adds its team, tradies, owners and tenants, sometimes from a spreadsheet. Tradies and owners add what they send through their links.
You can read our website without telling us who you are. To report a repair, we need your email and your property manager’s, or the repair can’t reach them.
Why we use it
- To send each repair to the right people, and keep everyone up to date by email.
- To show each person only what they need. Tradies and owners never see a renter’s phone or email.
- To keep a record of each repair, which can help if there’s ever a dispute about it.
- To keep Evenside secure, with a record of important actions that can’t be changed.
- To answer you when you write, and to fix what goes wrong.
- To send an agency its invoices, and know when each one is paid.
- To count how often each part of Evenside is used each month, as numbers across every agency, so we know what’s worth keeping. A count never names anyone or says what they wrote.
We don’t sell personal information, and we don’t send marketing.
Who we share it with
- The agency that manages the home. A repair goes to the property manager the renter names, with the renter’s name and how to reach them.
- Tradies, with only what they need for the job, like the address, how to get in, the job itself and the photos and documents the agency chooses to share. Never a renter’s phone or email.
- Owners, with how a repair is going, its quotes and invoices, and the documents the agency chooses to share. Never a renter’s contact details.
- An agency’s own systems, if it connects them, with updates on repairs and never a renter’s details.
- The providers who run Evenside for us, below.
- Anyone the law requires us to.
We pass on only what each person needs for the repair, and never for anyone’s marketing. Once an agency, tradie or owner has seen it, what they do with it is theirs to answer for. Agencies are bound by their own privacy obligations. Tradies and owners agree to use what their link shows them only for that job, and each link reminds them. If a tradie or owner taps the home’s address on their link, it opens in a map, so the company that runs the map, which may be overseas, gets the address. If you think someone has misused your information, tell the agency, or us.
Where it’s kept
Your information is kept in Sydney, Australia. Some of it passes through providers overseas, or sits in their logs there.
- Supabase keeps our database, sign-ins and the photos and documents people add, in its Sydney region, in Australia. Its logs of sign-ins and requests are kept in Europe.
- Cloudflare hosts our website and apps, runs our servers and passes replies by email on to us, on its network of data centres around the world. It’s based in the United States, and keeps what it stores mainly there and in Europe.
- Amazon Web Services sends our emails, and keeps a backup of the photos and documents people add, in its Sydney region, in Australia.
- Sentry keeps error reports from our servers, and from the apps of people who turn them on, in Frankfurt, Germany.
- Stripe takes payment for our invoices, and keeps the card an agency adds, with the email of the admin who adds it, in the United States, and may pass them to its own providers in India and Europe.
So your information may go to the United States, India, Germany and other countries in Europe, and Cloudflare may carry it through other countries where it has data centres. We choose providers that protect it, and only send them what they need.
What Evenside does by itself
Some steps happen on their own, worked out from the repair and the law of the home’s state.
- Which repairs are urgent, and when a reply is due, come from the state’s law.
- A repair’s status follows its tradie’s job, so everyone sees the same progress.
- When the tradie says a repair is done, the renter has two days to say it isn’t fixed. With no answer, it counts as fixed, and the renter can still tell their property manager.
- If the agency uses Office Plus and turns it on, an urgent repair nobody there has picked up goes to the preferred tradie for that kind of repair after the agency’s wait.
- If the agency turns it on, so does a routine repair, after the agency’s wait for those.
- If the agency turns it on, a tradie’s quote within the owner’s limit, and an invoice no more than its approved quote with a new number, are approved as they come in.
They use the repair’s details, like what’s wrong, the home’s state, when it was reported and the renter’s answers, or a quote’s or invoice’s amount and number against the owner’s limit, and never anything else about you. If you think one got something wrong, tell your property manager, or us.
Keeping it safe
- Each person sees only what’s theirs, and the database checks that on every request.
- Your information is encrypted on its way to and from Evenside, and our database and files are encrypted where they’re kept.
- Important actions go in a record that can’t be changed, which each agency can check.
- If a data breach is likely to cause someone serious harm, we’ll tell them and the Office of the Australian Information Commissioner, as the law requires.
How long we keep it
- A repair and its record stay for as long as the agency uses Evenside, as they’re the record of the work.
- If you rent, your repairs stay in your account for as long as you keep it, even after you move or your agency stops using Evenside. You keep what you reported, how each repair ended, the messages with you, the photos, and who came and when. The agency’s own notes stay with the agency.
- If nobody uses an account for 6 years, we let it go. First we email the address you sign in with, and if you don’t sign in within 30 days, we delete it. Signing in, opening the app, and looking at, reporting or writing on a repair, by email too, all count as using it, and so does renting a home on Evenside or being on an agency’s team.
- Links for tradies and owners stop working after 14 to 30 days, and we let them go 90 days after that.
- A note of each email we send, like who it went to, is kept for 30 days, to see that it arrived.
- Updates sent to an agency’s own systems are kept for 30 days.
- You can delete your account yourself, under Your details in the app or Settings in the dashboard, or ask us to. You can download a copy of your information first. We delete your account and your details straight away, and email the address you signed in with to say it’s done. The repairs you reported or worked on stay with the agency, without your account.
- We keep backups of our database, and of the photos and documents people add, so we can put things right if something goes wrong. Anything we delete, your account included, is gone from them about a week later.
